If you’re the type who loves keeping things organized, clean, and accurate, this one’s for you. We’re hiring an on-site Construction Office Administrator to be the backbone of a busy jobsite office—owning the data entry, scanning, paperwork flow, and document organization that keeps the project moving.
You’ll work side-by-side with the project team to make sure critical documents are processed correctly, filed consistently, and easy to find fast. In short: you bring order to the chaos and help the field team stay focused on building.
Duties
- Data entry & record maintenance: Enter and maintain jobsite information in internal systems (vendors, invoices, logs, equipment, etc.), ensuring records are current and accurate.
- Quality control / auditing: Review entries and documents for accuracy and completeness, correct errors, and flag missing or inconsistent information.
- Document scanning & filing: Scan, upload, label, and index paperwork daily (timesheets, tickets, invoices, permits, etc.), and maintain clean, organized hard-copy files and job binders.
- Document tracking & follow-up: Track document status and proactively follow up with the field/project team to obtain missing paperwork and keep files audit-ready.
- Jobsite office support: Answer phones, greet visitors, route questions appropriately, assist with meeting materials (printing, sign-in sheets, document prep), and order/maintain office supplies to keep the office organized and professional.
Qualifications
- 1+ year experience in an administrative or data entry role (construction/jobsite experience is a plus)
- Strong attention to detail and comfort working with high volumes of paperwork
- Proficiency with Microsoft Office (especially Excel and Outlook) and basic PDF/scanning tools
- Ability to prioritize tasks, meet deadlines, and follow consistent processes
- Professional communication and dependable attendance
Hourly: $24-$28/hr
