 We’re hiring on behalf of a client for a Receptionist / Facilities Coordinator based in New York, NY. This position is ideal for someone who thrives in a front-facing role while supporting the behind-the-scenes operations that keep an office running smoothly.

Looking for a polished and proactive administrative professional to be the face of our front office and a key support partner to our Facilities team. $32-33 per hour
M–F, 8 AM to 5 PM
Contract-to-Hire
Onsite role / New York, NY


Key Responsibilities:
Reception & Front Office:

•    Greet guests and direct them appropriately with professionalism and warmth
•    Answer and route incoming calls; handle general inquiries
•    Manage conference room calendars and assist with meeting coordination
•    Receive and distribute mail and packages (FedEx, UPS, etc.)
•    Maintain the cleanliness and presentation of front desk, meeting rooms, and shared spaces
•    Register visitors with building security and issue badges as needed
•    Keep kitchen and pantry areas stocked and organized
•    Provide general admin support to staff and leadership

Facilities Coordination:
•    Partner with Facilities Manager to ensure the office is clean, safe, and fully operational
•    Communicate with building management regarding service needs and maintenance issues
•    Oversee office supply inventory and place orders as needed
•    Coordinate with vendors and cleaning crews to uphold service standards
•    Submit and track work orders and facility-related invoices
•    Support light financial tasks such as client check processing
•    Assist with special projects and safety procedures as needed

What We're Looking For:
•    Previous experience in a receptionist, facilities, or administrative support role
•    Strong communication and interpersonal skills
•    Proactive, dependable, and detail-oriented
•    Comfortable using Microsoft Office (especially Outlook and Excel)
•    High school diploma or equivalent required
